Your email platform. Added protection. Secure communication.

Reliable email, protection from incoming threats, and encryption serve different purposes. DPS helps you bring the right services together for your practice.

  1. Microsoft 365 email

Professional email using your practice’s domain, with setup and ongoing support from DPS.

  2. DPS-managed email security

An additional security layer that screens incoming messages to help detect phishing attempts, malicious attachments, and other threats before delivery.

  3. Optional email encryption

A separate service that helps protect sensitive messages and attachments sent to patients, referring offices, and other recipients.

Business email, managed by a team that understands your practice.

As a Microsoft Partner, DPS helps dental practices set up and manage Microsoft 365, commonly known as Office 365, for their business email.

We help with mailbox setup, email configuration, and day-to-day support so your team has a knowledgeable point of contact when questions or problems arise.

If you’re moving from another email provider, we review your current setup and plan the transition with your practice.

  • Professional email using your practice’s domain.
  • Mailbox setup and configuration.
  • Help connecting supported email applications and devices.
  • Ongoing troubleshooting and support.
  • Coordination when changing email providers.

Microsoft 365 is the foundation. We add another layer of protection.

A convincing email can look like a message from a familiar dental office, a vendor, or a service your team uses every day. It may ask someone to open a document, sign in to an account, or download a file.

DPS adds a managed email security service on top of Microsoft 365. Incoming messages are screened for threats, helping block or quarantine messages identified as malicious before they reach your team’s inboxes.

That additional layer helps reduce exposure to phishing, malware, and other email-based attacks.

Email filtering works alongside account safeguards, computer protection, and staff awareness; no single layer catches every threat.

  • Phishing and fake sign-in requestsMessages designed to trick your team into revealing passwords or account information.
  • Malicious attachments and downloadsFiles or links intended to introduce harmful software onto a computer.
  • Impersonation and suspicious requestsMessages that pretend to come from a trusted person or organization to encourage an unsafe action.

Two directions. Two different kinds of protection.

Optional Email Encryption

Sensitive information deserves a more protected way to travel.

Dental teams often need to send information to patients, specialists, and other offices. Our optional email encryption service helps protect the contents of sensitive messages and attachments during those communications.

DPS helps configure the service and explains how your team should use it, making secure communication part of your everyday workflow.

Communications that may contain sensitive information

  • Patient records and referral information.
  • Treatment-related documents.
  • Insurance and billing information.
  • Other confidential practice communications.

Email security helps protect your team from incoming threats. Email encryption helps protect sensitive information your team sends. They are separate services that can work together.

Support your practice’s HIPAA compliance efforts.

Email encryption is one technical safeguard that can support the protection of electronic patient information. It works alongside appropriate access controls, staff procedures, and the other safeguards your practice uses.

DPS helps you implement and manage email technology as part of that broader approach.

An email service alone does not make a practice HIPAA compliant.

Questions about email security and encryption

Are Microsoft 365, email security, and encryption the same service?

No. Microsoft 365 provides the email platform. DPS’s added email security service screens incoming messages for threats. Optional encryption helps protect sensitive outgoing communications. We explain how these services can be configured for your practice.

Does Microsoft 365 already include email protection?

Microsoft 365 includes built-in protections, with features varying by subscription. DPS offers an additional managed security layer to help strengthen protection against malicious messages and phishing attempts.

Can email security stop every malicious message?

No filtering system can identify every threat. Added email security reduces exposure and should work alongside account safeguards, computer protection, and careful handling of unexpected requests.

Is email encryption included automatically?

No. Encryption is a separate, optional service. We review your communication needs and explain the available setup and pricing.

Can we keep our practice’s email address?

In many cases, a practice can retain addresses using a domain it controls when changing email providers. We review your domain, existing provider, and administrative access before planning the transition.

Can you help if we already use Microsoft 365?

Yes. We can review your current Microsoft 365 email setup and discuss management, added email security, and encryption options. The next steps depend on your existing configuration and subscriptions.

Does encrypted email make our practice HIPAA compliant?

Encryption supports the protection of sensitive information, but compliance involves more than email. It also depends on your practice’s procedures, access controls, and other safeguards.

Let’s make your practice’s email more secure.

Whether you need Microsoft 365 email, stronger protection against incoming threats, or a way to encrypt sensitive messages, DPS can help you understand your options.
